This page explains what we keep about you when you order a fob or ask us to tell you when the shop opens, and why. The data controller is Volumetryx Inc., the Canadian company that runs PlateFob, at 815 Av. Plymouth, 608, Mont-Royal, QC H4P 0C6, Canada.
What we keep
- Your name, email, delivery address and, if you give it, your phone number.
- Your design: the reg, the words and any photo or logo you upload. For a map on the back, the places you picked, the road between them and the map as you framed it. For handwriting, the picture of the writing.
- If you choose a voice message: the recording and the name you give it. It is kept on our servers as soon as you record it, so the code on the fob can play it. Anyone who scans the code, or has its link, can hear it. We also keep the words of the recording, shown as it plays.
- If you protect your keys on the page a fob's code opens: your email, so we can pass on a message from whoever finds them. They never see it.
- If you find someone's keys and write to them through that page: your message, how to reach you and where you found them go to the owner by email. We don't keep them, only the time it was sent, to limit how many messages one fob gets.
- Your order history. Card details go straight to the checkout: we never see or keep them.
- If you ask us to tell you when the shop opens: your email, the date, the country you signed up from, and the words you agreed to.
- The steps visitors take in the shop (opened the builder, added to basket), with a random number for the browser, the page, the device type and the link that brought them. Nothing you type or upload goes with it. You can turn it off on the Cookies page.
- While you shop, your basket and the design you are making are kept in your own browser, not sent to us, until you go to the checkout. Two things are the exception: a voice message (see above), and a picture for the back (a photo, a map or handwriting), which goes to our server straight away so it can be printed.
Why, and on what basis
- To make and post your order and email you about it: we need it to carry out our contract with you.
- To show the words of a voice message as it plays: to carry out our contract with the buyer.
- To pass on a message about lost keys: because the owner turned it on with their email, and the finder chose to write.
- To keep order and tax records: the law requires it.
- To count visits and see where people stop in the shop, so we can make it easier to use: our legitimate interest in running the shop well.
- To email you when the shop opens, and now and then with news: because you asked us to. Every email has a link to stop them, or write to us.
We don't sell your data.
Who else sees it
- Shopify, which runs our checkout, takes payment and keeps the order.
- The postal service, to deliver your fob.
- Vercel, which hosts this site, Neon, which holds our database, Resend, which sends our emails, and Google, which carries our inbox.
- Deepgram, a speech-to-text service in the USA. It gets each voice message only to turn it into the words shown with it. We have set it not to use them to train its models.
- Geoapify, a map service in Germany (EU). When you make a map for the back, the places you type go to it through our server, only to find those places and the road between them. It never gets your name or email.
We work from Canada, which the UK recognises as protecting personal data properly. Some of these companies, Deepgram among them, may handle data in the United States. They do so under the UK-US data bridge or the UK's approved contract terms for sending data abroad.
How long
Order records are kept for six years for tax. Uploaded photos are deleted 90 days after your order is posted, or 30 days after upload if you don't order. Your email for news of the opening is kept until you ask us to stop. The visitor steps are deleted after 13 months.
A voice message you record but don't order is deleted 30 days after you record it. A voice message on a fob you bought is kept for at least 10 years from the order, so the fob keeps playing it. To have it deleted, email us with the code from the fob or the order number.
The words of a voice message are kept and deleted with that message, for the same time. An email that protects a fob's keys is kept until its owner turns it off, or for as long as that fob's message is kept.
